TERMS & CONDITIONS

This document sets out the British Society for the Study of Vulval Disease 2022/23 terms and conditions which will apply to all events run for the BSSVD by Emu Events Limited.

 

1. BOOKINGS

1.1 Once processed the booking is deemed as confirmed.

1.2 Completing the registration is deemed as acceptance of these Terms and Conditions.

1.3 Additional costs incurred during the event such as mini bar, bar drinks and snacks will be charged to your account and redeemed on departure from the venue. The venue reserves the right to take funds from the registered credit card if you fail to settle the account on departure.  This will then be charged back to you incurring a 10% admin fee to cover recovery of costs.

1.4 Events which span over more than one day and which may include an evening function are sold as a package price.  Persons wishing to split any part of the package will forfeit their right for compensation for the part they have omitted.

 

2. CANCELLATION

Following the Covid-19 outbreak any event due to be held in 2022/23 may be subject to a change in date to a time when the government deems acceptable for meetings to continue. Where no other option is available the organisers reserve the right to run a virtual meeting, replacing the physical event. Fees will not be affected, however all presentations will be available to registrants for 1 month after the scheduled meeting date.

Upon completion of the registration the following cancellation penalty will be incurred:

From completion to 80 days prior to an event = 65% fee plus * administration fee

From 79 days to 31 days = 90% cancellation plus * administration fee

From 30 days to event date = 100% cancellation plus * administration fee will apply .

* Administration fee covers all merchant bank and administration costs.  The fee is currently £25 per person.

 

3. LIABILITY

The BSSVD Events Team will accept no liability for damage to property, cancellation, delay, irregularity or inconvenience to any delegate or any consequential loss or expenses resulting from travel delays, changes in travel timings or services, sickness, weather, war, strikes, riots, civil commotion, quarantine or any other cause whatsoever due to circumstances beyond the BSSVD Events Team direct control.

 

4. COPYRIGHT

All material and contents presented by the BSSVD Events Team remain the confidential property of Emu Events Limited. Creative Copyright applies.

All presenters are deemed as accepting to share their presentations with the audience unless explicitly stating to the contrary.

 

5. LAW

Contracts made under these Conditions shall be governed by and construed in accordance with the United Kingdom laws.

 

6. MEDIA

Emu Events Limited reserves the right to take and use video and/or photographs during the event. All media will be the property of Emu Events Limited.

 

7. DATA PROTECTION

The data protection policy ensures that Emu Events Limited complies with data protection law and follows good practice. It also protects Emu Events Limited against the risk of data breach.

he Data Protection Act 2018 controls how your personal information is used by organisations, or businesses and states that all data collected must be stored safely and not disclosed unlawfully. The Data Protection Act 2018 is the UK’s implementation of the General Data Protection Regulation (GDPR).

Everyone responsible for using personal data has to follow strict rules called ‘data protection principles’. They must make sure the information is:

  • used fairly, lawfully and transparently
  • used for specified, explicit purposes
  • used in a way that is adequate, relevant and limited to only what is necessary
  • accurate and, where necessary, kept up to date
  • kept for no longer than is necessary
  • handled in a way that ensures appropriate security, including protection against unlawful or unauthorised processing, access, loss, destruction or damage

Any personal data relating to you gathered by Emu Events Limited in the registration process for the BSSVD events may be recorded and used in accordance with their data protection policy.

The BSSVD do not store credit card details nor do they share customer details with any 3rd parties

All data will be retained on Emu Events Limited database(s), which we will keep secure in accordance with the requirements of the Data Protection Act.

All personal data will be removed from Emu Events Limited database(s) on completion of the event.

Emu Events Limited accept no responsibility for breach of data entered by a third party.
